Position - Secretary to Director
Location - India
Making travel arrangements for Director.
Providing complete support for international tours, as well as economical air tickets arrangements, providing visa documents, requisite Forex/international currency arrangement preparation.
Managing office conference room and meeting room bookings.
Sorting incoming faxes, Emails and other.
Providing general administrative support.
Planning appointments and events.
Being involved in decision-making process.
Managing Diary and schedule meeting and appointments.
Acting as the point of contact among executives, employees, clients and other external partners.
Maintaining diaries and arranging appointments, ensuring no overlap.
Maintaining travel schedules and making travel arrangements.
Typing, preparing and collating reports – Getting reports from People and Summarising. Getting and maintaining MIS Database, Making presentations etc.
Organizing and servicing meetings (producing agendas and taking minutes).
Managing databases of Director and communications.
Implementing new procedures and administrative systems.
Liaising with relevant organizations and clients.
Coordinating mail-shots and similar publicity task.
Logging or processing bills or expenses of Director.
Managing information flow in timely and accurate manner.
Possibly helping plan company events, meetings and employee team building activity or special projects.
Maintaining the current filing and database system, and looking for ways to improve current systems.
Coordinating high-level conference calls, board and management meetings, special events, and travel arrangements for top executives.
Organizing meetings and ensuring that the director is well prepared for those meetings. Preparing agendas, pre-meetings briefings and meeting paper.
